MK3000 User Management Overview
User management on the MK3000 time clock controls the employee records stored on the device. This includes maintaining employee names, departments, shift assignments, and reviewing user punch history.

How to Manage Users on the MK3000
The MK3000 stores user information directly on the device. You can manage user data in two ways:
- On the MK3000 time clock, using the on‑screen menu
- Using Excel setup files, uploaded to the device
In general, we recommend using Excel for bulk updates or routine maintenance, such as adding many users or updating departments. However, making changes directly on the MK3000 is often faster for single‑user updates or quick changes.
User Roles on the MK3000
Standard Users
All users are created with employee (standard) privileges by default. Standard users can:
- Punch in and out
- Use their assigned authentication methods
Managers
Managers are users with elevated access to the MK3000 menu. When one or more managers are set on the clock, only managers can access the menu, preventing just any member on your team from updating information and settings.
Managers can both punch and access the menu.
Special care must be taken to ensure that a Manager has registered a face template, finger ID template, proximity badge, or password on the time clock before adjusting their manager privilege. Any authentication method added after setting the person to manager status will only be able to be used to punch.

Managing Users
The MK3000 allows you to add, edit, and remove users as needed throughout the employee lifecycle.
Add Users
Each employee who punches on the MK3000 must have a user profile. There are two ways to add a new user to the MK3000:
- Using the Employee Setup Excel file (recommended)
- Directly on the on the MK3000.
After adding a user, you can assign authentication methods and optionally grant manager privileges.
Note: Fingerprint templates, face templates, and manager privileges can only be added or updated on the device.

Edit Users
If you need to update employee information for users on the MK3000, such as a name change, department update, or shift reassignment, you have two ways to make those changes:
- Using the User Setup spreadsheet with Excel, which is the fastest and most efficient option
- On the MK3000, when quick changes are needed
When editing users on the device, you can update:
- ID
- Name
- Face scan*
- Fingerprint scans*
- RFID card
- User privilege level*
- Password
- Shift
- Department
*Face templates, fingerprint templates, and user privilege level can only be added or updated on the device.

Delete Users
Deleting a user permanently removes them from the MK3000 time clock. If you need to retain an employee’s punch or time card history, update their End Date instead of deleting the user.
Punch logs are not automatically deleted. If you reuse a proximity card or a user ID and password, the new user will inherit the punch logs of the previous user unless the punch log is cleared.

Manager Access to the Menu
When one or more managers are registered, the MK3000 menu is secured. Managers must authenticate to access menu options using a registered face, fingerprint, RFID badge, or password.

View User Punches
The MK3000 allows you to view punch history for individual users directly on the time clock. This is very useful for reviewing recent punches or confirming that a punch was recorded.
For payroll processing, auditing, or long term records, we recommend using reports or downloading punch data instead of reviewing punches on the device.
