Edit a User on the MK3000
If you need to update employee information for users on the MK3000, such as a name change, department update, or shift reassignment, you have two ways to make those changes. For most updates, especially when editing multiple employees, using the User Setup spreadsheet is the fastest and most efficient option. You can also make certain changes directly on the time clock itself when you need a quick, one‑off update.
This article walks through both methods so you can choose the option that best fits your task. Keep in mind that some user settings, such as biometric credentials and manager privileges, can only be managed directly on the device.
Edit Users using the User Setup Spreadsheet
The MK3000 supports editing user information using the Excel setup file, which is the fastest and most efficient way to update multiple employees at once. This method is recommended for most user updates.
Updating users with the spreadsheet follows a three-part process:
- Download the user setup file from the time clock
- Open the setup file in Excel & edit the employee information
- Upload the updated file back to the time clock
Step 1: Download the User Setup File from the Clock
- Plug the USB stick into the left side of the clock.
- Press [Menu].
- Select User Mgt and press [OK].
- Scroll down to select Download users and press [OK].
- Press [ESC] repeatedly to exit or simply allow the menus to time out.
- Remove the USB stick from the clock.
Note: If you need to add a new shift for this employee, you will want to download the Shift Setup file as well. Be sure to add the new shift before uploading the employee to the clock.
Step 2: Open the Setup File in Excel & Edit the Employee in the File
- Plug the USB stick into your computer.
- Open Excel.
- In Excel, click File > Open.
- Select Browse.
- Select the USB Drive (often Drive D: but it may be assigned to another drive).
- Choose 01Shift and click Open.
- Locate the employee in the file and update their information.
- When finished editing employee information, save the file back to the MK3000 flash drive.
⚠️Important: Do not rename any files on the flash drive. The time clock will not recognize the files if the names are changed.

Step 3: Upload the Setup File Back to the Time Clock
- Eject and remove the USB stick from the PC.
- Plug the USB stick into the side of the clock.
- Press [Menu].
- Select User Mgt and press [OK].
- Select Upload users and press [OK].
- Once complete, press [ESC] repeatedly to exit the menus or simply allow the menus to time out.
- Remove the USB stick from the clock.
Edit a User on the Time Clock
In general, we recommend editing user data using the ease of Excel on a computer. However, there are times when you may wish to perform these tasks on the time clock.
Within the MK3000 User Management menu, you can update the user's name, password, shift, or department in addition to adding their punch authentications.
When editing data on the time clock, you will use the numeric keypad to enter numbers, letters, and symbols. See MK3000 Keypad Characters for assistance.
To edit a user on the MK3000 clock:
- Press [Menu].
- Select User Mgt and press [OK].
- Select User view and press [OK].
- Select the user you wish to edit and press [OK].
- Select Edit and press [OK].
- Scroll down to the setting you wish to edit and press [OK].
- Update the setting appropriately, then press [OK].
- When finished, press [ESC].
- The time clock will prompt you with “Save?” Press [OK].
- Press [ESC] repeatedly to exit the menus or simply allow the menus to time out
To edit the user's name:
- Scroll down to Name and press [OK].
- Use the keypad to update the first and/or last name.
- Press [ESC].
To update the user's shift:
- Scroll down to Shift and press [OK].
- Shift: Select a shift and press [OK].
To update the user's department:
- Scroll down to Dept. and press [OK].
- Select a department and press [OK].
To update the user's password:
- Scroll down to PWD and press [OK].
- If the person has a password set, press [OK] to delete.
- Press [OK] to select PWD again.
- Enter the numeric password and press [OK].
- Re-enter the password to confirm and press [OK].
