Add a User to the MK3000
There are two ways to add a new user to the MK3000: either through using the Employee Setup Excel file (recommended) or through the device interface. This article will walk through both methods for your convenience.
After adding the user, you can register face templates, fingerprints, or an RFID card on the time clock for secure access.
Add a User with the Employee & Shift Setup Sheets
The recommend way to add a new user to the MK3000 is by downloading the user setup file from the clock, updating the file in Excel, and uploading it back to the clock for easier setup.
Step 1: Download the User Setup File from the Clock
- Plug the USB stick into the left side of the clock.
- Press [Menu].
- Select User Mgt and press [OK].
- Scroll down to select Download users and press [OK].
- Press [ESC] repeatedly to exit or simply allow the menus to time out.
- Remove the USB stick from the clock.
Note: If you need to add a new shift for this employee, you will want to download the Shift Setup file as well. Be sure to add the new shift before uploading the employee to the clock.
Step 2: Open the Setup File in Excel & Add the Employee to the File
- Plug the USB stick into your computer.
- Open Excel.
- In Excel, click File > Open.
- Select Browse.
- Select the USB Drive (often Drive D: but it may be assigned to another drive).
- Choose 01Shift and click Open.
- Enter the employee's information in a new row of the setup file. Complete all required fields and any optional fields as needed.
- When finished adding all employee information, save the file back to the MK3000 flash drive.
⚠️Important: Do not rename any files on the flash drive. The time clock will not recognize the files if the names are changed.
Required Fields:
- ID: Unique numeric ID, up to 8 digits
- Name: Up to 48 characters
- Dept. (Department): Up to 48 characters

Shift: Enter the numeric value of the shift (1-8)

0to assign no shift - If left blank, Shift1 is assigned by default.

Optional Fields:
- PWD (Password): Numeric password (PIN) for punching or clock access, up to 8 digits
- Card: RFID card number, up to 10 digits
- Lock timezone: Enter the numeric value of the shift (0-8)
- Start: Enter the person's start date, yyyy-mm-dd format
- End: Enter the person's end date, yyyy-mm-dd format
Leave the FP (fingerprint) and Face columns blank. Fingerprints and face templates are added at the time clock.

Step 3: Upload the Setup File Back to the Time Clock
- Eject and remove the USB stick from the PC.
- Plug the USB stick into the side of the clock.
- Press [Menu].
- Select User Mgt and press [OK].
- Select Upload users and press [OK].
- Once complete, press [ESC] repeatedly to exit the menus or simply allow the menus to time out.
- Remove the USB stick from the clock.
After adding the user to the clock, you can set at least one authentication method (listed below) and set up Manager access.
Add a User on the Time Clock
In general, we recommend editing user data using the ease of Excel on a computer. However, there are times when you may wish to perform these tasks on the time clock. When editing data on the time clock, you will use the numeric keypad to enter numbers, letters, and symbols. See Keypad Characters for assistance.
- Press [Menu].
- Select User Mgt and press [OK].
- Press [OK] to select Add user.
- Press [OK] to use the keypad to enter the first and last name.
- Press [ESC].
- Scroll up once and press [OK].
- Use the keypad to enter the user's ID.
- Press [OK].
- Scroll down to Shift and press [OK].
- Select a shift and press [OK].
- Scroll down to Dept. and press [OK].
- Select a department and press [OK].
- Set at least one authentication method (listed below).
- Press [ESC] once.
- The clock will prompt "Save?" Press [OK] to save.
After adding the user and setting an authentication method, you can set the user up with Manager access.
Register Employee Authentication Methods (Optional)
If the user will be punching on the clock or accessing the time clock menus, they will need at least one form of authentication.
- Press [Menu].
- Select User Mgt and press [OK].
- Select User view and press [OK].
- Select the employee from the list and press [OK].
- Select Edit and press [OK].
- From here you can set:
- Face template
- Fingerprint template(s)
- RFID badge
- Password
Add Face Template
- Select Face and press [OK].
- The clock will request the user to look at the camera. Position the face within the view screen.
- When completed, the clock will return to the previous screen.
- Press [ESC] once.
- Press [OK] to save.
Add Finger Template
- Select FP and press [OK].
- The clock will request the user to press a finger three times to ensure a good read. Press and quickly remove the finger for best results.
- When completed, the clock will return to the previous screen.
- To record another finger: select Finger, press [OK] again, and repeat the process with a different finger.
- Press [ESC] once.
- Press [OK] to save.
Add RFID Card
- Select Card and press [OK].
- The clock will request the card number.
- Tap the card to the reader; the card number should appear.
- Press [OK] to save the card number.
Add Password
- Select PWD and press [OK].
- The clock will request the password.
- Enter the numeric password and press [OK].
- Re-enter the password to confirm and press [OK].
Set as a Manager (Optional)
To give the user access to time clock menus, assign manager privileges after the user has been added to the time clock and an authentication method has been set.
